Terms and Conditions
1. Scope

These terms and conditions are between you and De Ware Jacob Hotel and apply to all bookings of hotel rooms in De Ware Jacob hotel. You agree that you will make reservations in good faith for legitimate use by you and your invited guests only and not for any other purpose, including but not limited to reselling, impermissible assigning or posting on third-party websites, or making speculative, false, or fraudulent reservations or any reservation in anticipation of demand.

2. Room rate and city tax
  • All rates include VAT but exclude a City Tax of 12.5% of the room rate (effective January 1, 2024).
  • Rates are displayed and payable in local currency.
  • Non-Refundable Rates: Prepayment required at the time of booking.
  • Flexible Rates: Payment required at check-in. A pre-authorization for the full reservation’s value will be placed on the guarantee card provided at the time of booking 3 days prior to arrival day. If the pre-authorization is not completed within 24 hours of the request, the reservation will be cancelled.
  • All additional charges, such as meals and drinks (unless explicitly included), are payable at check-out.
3. Guarantee and Cancellation Policy
Non-Refundable Rates:
  • Non-changeable and non-cancellable. The full reservation amount is charged at the time of booking.
  • Reservations cannot be modified or cancelled, and no refunds will be issued under any circumstances.

Flexible Rates:
  • Cancellations are permitted up to 15:00, 48 hours before your arrival unless stated otherwise at the time of booking.
  • Late cancellations (after 15:00, 48 hours before arrival) incur a charge equivalent to one night’s room rate and applicable taxes.
  • A valid credit card is required to guarantee the reservation. The card will not be charged before arrival, but the full cost of reservation will be pre-authorized three days prior to arrival to verify validity. If the pre-authorization is not completed within 24 hours of the request, the reservation will be cancelled.


Credit/Debit Card Holds:
  • For all reservations, a hold may be placed on your credit or debit card for the full anticipated charges, including incidentals. This hold may not be released until 72 hours after check-out or longer, depending on your card issuer.
4. Check-In and Identication

TIme:

  • A guaranteed check-in time is from 15:00 to 23:00. Guests must inform the hotel in advance of their arrival time. Late arrivals after 23:00 require prior communication for room access instructions.

Requirements:

  • Identification and payment: Guests must present a government-issued photo ID and a valid credit card upon check-in.
  • Age Policy: Guests under 18 may only check in with a parent or official guardian.
5. Check-out
Time:
  • Check-Out time is 11:00. The possibility of a late check-out is always subject to availability and prior arrangements
  • Early Check-Out: For departures before 07:00, payment must be made the evening before at reception or via self-service portal. Key cards should be left at the reception desk upon departure.
6. No-Show Policy
  • If a guest fails to arrive by midnight without prior notice, the reservation will be marked as a "No-Show," and the booking will be cancelled. Charges will apply according to the rate.
7. Payment and Damage Deposit

Payments:

The hotel reserves the right to charge the guest’s credit card for any services used during their stay.

Extra services Deposit:

  • A deposit of €100 per night will be pre-authorized on a credit card at check-in.
  • The deposit is refunded within 7 workdays of check-out, subject to room inspection and issuers processing time.
8. Additional Facilities and Services
  • Parking: Paid public parking is available outside the hotel. Fees are determined by local authorities.
  • Luggage Storage: Provided for guests' convenience, though the hotel is not liable for the safety of stored belongings.
  • Wi-Fi: Complimentary throughout the property.
  • Breakfast: Served daily from 07:30 to 10:30. Service times may vary on bank holidays.
  • Lounge and garden: Open from 11:00 to 23:00, offering drinks and snacks.
  • Packages: Packages addressed to guests are only accepted with prior agreement. Unapproved deliveries may be refused.
9. Smoking and Drugs Policy
  • Non-Smoking Policy: The hotel is strictly non-smoking. A €500 fine will be imposed for smoking, tampering with fire alarms, or damage caused by smoking.

  • Drugs: The consumption or storage of drugs is strictly prohibited. Violations may result in immediate eviction from the property and/or notification of the authorities.
10. Pets

Only dogs under 20 kg are allowed upon prior request and approval by the hotel (extra charges apply). No other pets permitted.

11. Lost & Found

Guests are responsible for their personal belongings. The hotel bears no responsibility for any damage, loss or theft of your personal belongings. The hotel will hold forgotten items temporarily for up to 7 days but does not provide shipping services. Guests must arrange collection or a courier service for retrieval. Unclaimed items and those not retrieved within 7 days will be disposed of in accordance with hotel policies.

12. Housekeeping

Housekeeping services are available daily between 09:00 and 13:00. Guests may opt out of daily housekeeping by placing the “Do Not Disturb” sign on the door. For hygiene and maintenance purposes, housekeeping will enter the room after every third consecutive day of no service. Guests with allergies to specific cleaning products or materials are kindly requested to inform the hotel in advance.

13. Special Requests

Any special requests regarding the room and additional services are subject to availability and may incur additional charges.

De Ware Jacob Hotel does not store your personal data for longer than is strictly necessary to realize the purposes for which your data is collected. De Ware Jacob Hotel shares your personal data with various third parties if this is necessary for the execution of our services and to comply with any legal obligation. You have the right to view, correct or delete your personal data. You can do this yourself through the personal settings of your account. We take the protection of your personal data seriously and take appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification.
